Who we are

Tom Battye Coaching Ltd provides executive coaching, team coaching, and coach development programmes. Tom Battye is the data controller. You can contact us at tom@tombattye.com.

What information we collect

We collect personal information that you provide directly to us. This may include:

  • Contact details (name, email address, phone number, work address)
  • Professional information (role, organisation, seniority)
  • Coaching-related information (session notes, development goals, psychometric results, recorded coaching sessions)
  • Feedback provided by your employer, line manager, or sponsor as part of a coaching or development engagement

We do not collect personal information from any other sources.

Lawful basis for processing

We process your personal data on the following bases under UK GDPR and the Data Protection Act 2018:

  • Contract: Where processing is necessary to deliver coaching or development services you or your organisation have engaged us to provide.
  • Legitimate interests: Where we hold your contact details for the purpose of maintaining a professional relationship, for example to share relevant updates or resources. You can opt out of this at any time.
  • Consent: Where you have given specific consent, for example to receive marketing communications. You can withdraw consent at any time by contacting us.

How we use your information

We use your personal information to deliver the services you have engaged us for, including coaching, development programmes, and related activities. We may also use your contact details to share occasional updates or resources we believe may be relevant to you. Every communication includes the option to unsubscribe.

Use of AI and digital tools

Where AI-based tools are used as part of coaching or development work (for example, CoachInsights for coaching assessment), your data is processed in accordance with this notice. Any use of such tools is discussed and agreed with you in advance. We do not use your personal data to train AI models.

How we store your information

We take appropriate measures to keep your information secure, including password protection on all digital systems, restricted access, and the removal of identifying information where practical. We only work with third-party service providers (for example, psychometric providers or email platforms) that comply with UK GDPR requirements.

How long we keep your information

We retain coaching-related records (session notes, psychometric results, recorded sessions, development plans) for 12 months after the conclusion of the engagement, after which they are securely deleted. Contact details held for professional relationship purposes are retained until you ask us to remove them.

How we share your information

We do not sell or share your personal information with third parties. We will disclose information only where required to do so by law.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your personal data
  • Restrict or object to processing of your data
  • Request portability of your data
  • Withdraw consent where consent was the basis for processing
